Boba Bhai is a rapidly growing Korean Street Food and Bubble Tea brand with a large and expanding network of stores across India.
Boba Bhai is looking for an experienced and commercially driven Purchasing Manager to manage procurement activities, vendor relationships, purchasing processes and cost optimisation across the business.
The Purchasing Manager will be responsible for ensuring that Boba Bhai has the right products, ingredients, packaging and supplies at the right quality, quantity, price and time.
The role will manage supplier sourcing, negotiations, purchase orders, vendor performance, cost control and procurement planning while working closely with Supply Chain, Operations, Finance, Quality Assurance and New Product Development teams.
🎯 Key Responsibilities
🛒 Procurement Management
- Manage day-to-day purchasing activities across Boba Bhai.
- Source food ingredients, beverages, packaging materials, consumables, equipment and other operational requirements.
- Ensure materials are purchased according to approved specifications and quality standards.
- Maintain appropriate purchasing schedules based on demand and store requirements.
- Ensure purchase orders are raised accurately and within defined timelines.
- Monitor open purchase orders and ensure timely fulfilment.
🤝 Vendor Management
- Identify, evaluate and onboard new suppliers.
- Maintain strong relationships with existing vendors.
- Conduct regular vendor performance reviews.
- Monitor supplier quality, pricing, lead times and service levels.
- Develop alternative suppliers for critical products to reduce supply risk.
- Negotiate commercial terms, payment terms, pricing and supply agreements.
- Ensure vendor documentation and compliance requirements are maintained.
💰 Cost Optimisation
- Drive procurement cost savings across the organisation.
- Regularly benchmark prices across suppliers and markets.
- Negotiate volume-based pricing and long-term commercial agreements.
- Identify opportunities for alternate sourcing and product substitutions without compromising quality.
- Track purchase price movements and identify significant cost increases.
- Work with Finance and Supply Chain teams to analyse procurement savings and cost impact.
📊 Demand & Purchase Planning
- Work closely with Supply Chain and Operations teams to understand store-level requirements.
- Plan purchases based on historical consumption, forecasts, new store openings and promotional activities.
- Ensure adequate availability of critical ingredients and packaging.
- Avoid overstocking, expiry and unnecessary inventory holding.
- Monitor minimum and maximum stock levels for key products.
- Coordinate procurement requirements for new store openings.
✅ Quality & Specification Management
- Work closely with the Compliance & Quality Assurance team to ensure all purchased products meet approved specifications.
- Ensure vendors supply products according to agreed quality standards.
- Coordinate supplier samples and product approvals.
- Address quality complaints and supplier deviations.
- Ensure rejected or non-conforming materials are appropriately managed with suppliers.
📋 Purchase Order & Documentation Management
- Ensure purchase orders are created accurately and approved as per company policies.
- Track purchase order status and delivery timelines.
- Maintain procurement documentation and vendor records.
- Ensure invoices, purchase orders and goods receipt records are aligned.
- Coordinate with Finance on invoice discrepancies and vendor payment issues.
📦 Inventory Coordination
- Work closely with the Warehouse and Supply Chain teams to monitor inventory levels.
- Identify slow-moving, excess and ageing inventory.
- Coordinate with vendors to manage shortages, delays and supply disruptions.
- Ensure procurement decisions support optimal inventory levels and working capital.
- Monitor product shelf life and expiry risks.
🌐 Import Procurement
- Support procurement of imported ingredients, packaging and other products where required.
- Coordinate with importers, freight partners and relevant internal teams.
- Monitor lead times, landed costs, duties and other import-related expenses.
- Ensure imported products are planned well in advance to avoid stock-outs.
- Evaluate opportunities to improve landed cost through better sourcing and logistics planning.
🚀 New Product & New Store Support
- Work with Product Development and Operations teams during new product launches.
- Source new ingredients, packaging and operational materials.
- Identify suppliers for new products and ensure commercial feasibility.
- Support procurement requirements for new store openings and expansion projects.
- Ensure all required materials are available before store launch.
🎓 Eligibility / Qualifications
- Experienced and commercially driven procurement professional.
- Strong understanding of purchasing and procurement activities.
- Experience managing supplier sourcing, negotiations and vendor relationships.
- Ability to manage purchase orders, procurement planning and vendor performance.
- Strong understanding of cost control and procurement cost optimisation.
- Ability to coordinate with Supply Chain, Operations, Finance, Quality Assurance and Product Development teams.
